This is a broad, hands-on role sitting at the heart of a small but scaling whisky business. Reporting directly to the Managing Director, you'll shape processes, own compliance, and bring real commercial energy to a company that's still early enough in its journey to let you leave a mark.
How you'll make your mark
You'll keep the operation moving and help build what comes next. Day to day, that means:
- Maintaining the Warehouse Management System, ensuring stock movements are accurate and up to date
- Preparing and submitting monthly HMRC reporting, including W1 documentation
- Producing weekly stock and warehouse utilisation reports for the MD
- Working with the Warehouse Manager to identify and implement operational improvements
- Building and owning the company CRM, managing existing contacts and developing prospective ones
- Keeping all due diligence documentation current, including EMCS checks, insurance, and customer records
- Developing company policies across health and safety, handling procedures, and the employee handbook
- Supporting business development activity, from prospect engagement through to client visits across Scotland
- Attending industry trade events and representing the business externally
- Managing the company's LinkedIn presence and supporting the creation of marketing materials and service documentation
You'll suit this role if you bring:
- A background in operations, logistics, or business support
- Strong organisational skills and real attention to detail
- Confidence working in a small, evolving business where processes are still being built
- A proactive approach, with the initiative to spot what needs fixing and fix it
- Clear, confident communication, written and verbal
- Willingness to travel across Scotland regularly
- Familiarity with CRM systems and WMS platforms is advantageous
- Exposure to HMRC compliance reporting is a bonus
