What is Pro-Sapien?
Pro-Sapien provides Environmental, Health & Safety (EHS) management software on the Microsoft 365 platform. Through this, we help organisations around the world boost EHS engagement by making it easy for employees and executives to access.
Developed with high risk and heavily regulated sectors in mind, our award-winning software harnesses existing investments and familiarity of 365 to support a range of EHS and Quality functions.
This includes Incident Management, Audits, Inspections, Permit to Work and more, along with our core Action Manager and Business Intelligence tools that help improve productivity across our customers’ businesses.
We work internationally across a number of sectors such as Aerospace & Defense, Manufacturing, Oil & Energy, and Chemicals. Our mission is to make EHS easier for everyone with our intuitive software deployed through the Microsoft 365 apps millions of employees use every day.
How is Pro-Sapien helping?
Traditionally, Compliance and EHS professionals have struggled to engage employees and executives. This can result in a lack of reporting of hazards, near misses or incidents. Ultimately, the result is workplaces that are not as safe or sustainable as they could (and should) be.
Pro-Sapien helps solve this problem with EHS software that is configurable, easy to use, and—crucially—built into a company’s Microsoft 365 ecosystem. This makes it easy for all employees to access and integrates EHS management into the day-to-day IT of the business.
For example, our forms such as Incident Reporting and Inspections can be submitted from within Microsoft Teams, and our analytics report delivered within Microsoft Power BI. The overall application is accessed through the company intranet in Microsoft SharePoint, seamlessly fitting into the organisation’s technology culture and IT security protocols.
In 2024, EHS software is not a luxury for enterprises—it’s a necessity. Especially with the rise of ESG, there has never been a more crucial time to invest in sustainable, safe practices, which is what Pro-Sapien helps our customers achieve.

Where did it all begin?
Pro-Sapien was founded in 2012 by myself and Andy Gray. Previously, we worked together delivering SharePoint-based applications at another Glasgow-based technology company, which included safety management systems.
A whopping 85% of Fortune 500 companies use Microsoft 365, making it one of the most adopted business technologies available. This lead many to use the platform for EHS management, but the world of EHS has matured and in-house developed systems are a thing of the past (certainly for Enterprise businesses). After recognising a gap in the market, and with the opportunity to focus on an ethical product, we spun out Pro-Sapien into an independent business that has since grown to support enterprises the world over.
Aside from working on technology to achieve ‘good’ in the world, we were also passionate about cultivating a company where people love coming to work. Twelve years on, Pro-Sapien continues to prioritise staff well-being and invest in maintaining a positive work culture, evidenced by our incredibly low staff turnover and more recently, external validation from culture awards.
This is your life’s work. How do you cultivate that passion in others?
Passion and enthusiasm are infectious, but there are numerous factors including recognition for a job well done, respect for all members of the team, and being committed to doing the right thing wherever possible. We have worked hard to create a healthy culture and promote the ethos of ‘treat others the way you wish to be treated’. We don’t always get it right, but we are always looking to improve processes and the working environment. We listen to our team and that makes a difference.
It’s by design that we differentiate ourselves in the market. Pro-Sapien is a good product with happy clients in an industry that saves lives and helps protect the environment – so there is much to like about just that. Being told by clients that they like our software and praise the Project and Support teams is hugely rewarding not only for the Directors but for everyone. It is remarkable what we have achieved to date and also what the future holds. I am looking forward to growth and opportunity for the business, the product, and the individual – both staff and customer alike.
What are your latest initiatives or achievements?
Pro-Sapien was recently recognised in Hyer’s Culture 100 Awards – Growth Edition 2024 for our positive workplace culture. This award is testament to all of our colleagues’ hard work in creating a respectful, collaborative, and fun work environment.
Earlier in the year, Pro-Sapien was proud to be a Gold sponsor at the HSE Excellence Europe conference in Amsterdam, which brought together Health, Safety & Environmental professionals from across Europe.
Four of the team are just back from the American Society of Safety Professionals (ASSP) Safety 2024 Conference in Denver, CO – one of the largest events in the industry. Not only did we get to talk to existing clients using the system, we listened to the wants and needs of many EHS leaders, including the future of EHS and AI, challenges within the industry and how we as a business can help.
The trip was hugely rewarding and feedback we had on the stand was inspiring.
We are constantly improving our EHS software product, having recently launched a Power App to support offline incident reporting, and are laser focused on our mission of making EHS easier for everyone.
2024 has been an exciting year for the company so far as we continue to grow and achieve great things with our EHS-committed customers!
